POSITION SUMMARY

Under the direction of the Court Administrator and Chief Court Clerk, accepts payments, via various methods, posts, processes and verifies such payments, credits and other financial transactions, completes all accounting functions ranging from balancing daily work to processing unusual and complex financial transactions.  Scheduling court appearances as required.  This position is under the supervision of the Court Administrator and the Chief Court Clerk.  Employees at this level receive only occasional instruction or assistance as new or unusual situations arise, and are fully aware of the operating procedures and policies of the work unit.

 

EXPERIENCE AND TRAINING STANDARDS

One year of general clerical experience work in an office environment.  Previous cashiering experience preferred.  High School diploma or equivalent required.

 

ESSENTIAL JOB FUNCTIONS

  • Promotes and follows the City's mission statement, values and expectations.
  • Performs a variety of clerical accounting duties including accepting payments over the counter and through mail and processing payments.
  • Performs functions of a cashier when called upon; accepting posting, processing and verifying payments, credits and other financial transactions.
  • Schedules arraignments, pre-trial and other pre and post judgment hearings, as well as jury and non-jury trials; prepares and maintains the court calendars of these events keeping the judge advised of all court schedules and delinquent cases.
  • Prepares financial and statistical reports as necessary.
  • Maintains comprehensive index files, forms, reports, and/or records.
  • Assists customers over the counter and on phones; responds to questions related to judicial services and functions (cases, bail, warrants, payments and appointments).
  • Contact with public regarding citations, criminal, small claim actions and parking.
  • Works on a variety of special projects as assigned; performs related duties and responsibilities as required.

  • Scan documents into CORIS.
  • Assists clerks in performing their tasks.
  • Participate in safety and risk management activities; take action to reduce liability to the city.
  • Attendance and punctuality are essential functions of this position.  Employee is required to work as a team and frequently meet with co-workers and supervisors; employee is required to communicate in-person with the public during office hours; and employee is required to use on-site equipment.
  • Perform related duties and responsibilities as required.

 

QUALIFICATIONS

Knowledge, skills, abilities:

  • Knowledge of basic clerical accounting principles and procedures.
  • Modern office procedures, methods and computer equipment.
  • Basic principles and procedures of record keeping.
  • Basic arithmetic, and basic customer service principals.
  • Ability to accurately tabulate, record and balance assigned transactions.
  • Operate a computer, calculator and other office equipment.
  • Maintain a variety of records and files.
  • Type at a speed necessary for successful job performance.
  • Perform a variety of clerical activities.
  • Understand and carry out oral and written instructions.
  • Communicate clearly and concisely, both orally and in writing.
  • Ability to follow directions.
  • Prioritize tasks.
  • Work well under pressure and impending deadlines.
  • Work independently with a minimum of supervision.
  • Must be able to maintain confidentiality of records.
  • Maintain effective audio-visual discrimination and perception needed for making: Observations, listening, communicating with others, reading and writing, and operating assigned equipment as required by the position.
  • Establish and maintain effective working relationships with those contacted in the course of work.
  • Maintain mental capacity which allows for effective interaction and communication with others.

PHYSICAL REQUIREMENTS

Great mental effort is required daily.  Frequent pressure and fatigue are present in this position due to above average exposure to deadlines.  Constant attendance is required.  Work assignments are broad and performed with minimal supervision.  Great responsibility is required for the care, condition, and use of materials, equipment, and money.  Maintain physical condition appropriate to the performance of assigned duties and responsibilities that may include the following: sitting for extended periods of time and operating assigned equipment.

 

CRIMINAL HISTORY BACKGROUND CHECK

Driving record of successful applicant will be obtained by the HR office.

 

EDUCATION REQUIREMENT

Successful applicant must submit a copy of above education requirements when requested.

 

SALARY RANGE

Range 20 - $954.20 to $1,303.89 (Bi-weekly Rate) (DOQ).  This position is eligible for benefits.
